Under general supervision, provides secretarial and administrativesupport to the Chief Medical Officer, Sr VP for Medical Affairs. Performsa variety of administrative and secretarial support functions requiringconsiderable knowledge and judgment regarding divisional procedures andpolicies. May make decisions concerningminor departmental administrative matters. Researches information, composescorrespondence and prepares regular and/or special reports. Generally requires specialized secretarialtraining and experience.
- Assists with day-to-day operation of department including, but notlimited to, taking and transcribing dictation, drafting and preparation ofcommunications and memorandums, and distributing same.
Acts asliaison for medical center administration regarding a variety of matters
Schedulesand coordinates activities including meetings, agenda, conferences, andminutes.
Researchesand prepares reports in a timely manner
Assistsin preparation of budget data
Heavy calendar management including scheduling appointments, conferences, meetings
Screenstelephone in courteous and professional manner.
Designs,formats and prepares reports, special projects, forms, questionnaires, surveys,tables and charts.
Processesrequisitions, invoices, orders, reports, analyzes options for purchases.
Maintainsoffice equipment in optimum working condition.
Drafts and responds to routinecorrespondence,
Demonstratesflexibility in adjusting to changes in format, content or deadline; adheres tocorporate standards relating to policies, procedures and objectives.
- Highly proficient in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint). Proficiency with remote conferencing technology. Strong organizational, communication and interpersonal skills. Demonstrates cooperation with co-workers and management.
- 3+ years of progressively responsible secretarial experience to be proficient in all phases of assigned duties.
- High school plus knowledge of general secretarial or medical secretarial arts equal to two years of college.
