Location

We are located at 383 Paradise Road, in Swampscott, MA. As an OB/GYN office, our obstetricians and gynecologists provide high-quality conscientious care to woman of all ages, including annual check-ups, pre-and postnatal care, and sophisticated gynecologic surgery.

The office hours are Monday through Friday, 8:00am-5:00pm.

General Overview

The Surgical Scheduler is a multi-tasking position that consists of arranging patient surgeries. Under the direct supervision of the Site Manager. Surgical Scheduler will ensure that patients receive pertinent patient education information about their surgeries. Works independently to execute job responsibilities, tasks and handle confidential patient information. Utilizes discretion and judgment tasks utilizing well-established skills and experience including scheduling and prior authorizations as well as coordinating patient appointments with other specialty services. Performs administrative coordination of a physician’s schedule to include secretarial support data management and triaging. Upbeat and willing to work in a fast-paced, demanding environment while learning a multitude of duties that allow for cross covering for office support.

Responsibilities

• Schedules all procedures within a timely manner within Opt Time
• Obtain and enter all surgical information from physician to include specific case type and assist if needed
• Orders and coordinates all testing needed prior to surgery
• Schedules and tracks all minimally invasive surgical cases
• Release block time within cancellation window
• Coordinates and maintains physician schedules
• Consistently enters any/all specific information into the computer system regarding the patient surgery
• Responsible for coordination of pre-operative and post-operative needs
• The surgical scheduler will coordinate with the OR and other departments as needed
• Coordinates with the OR team for last-minute cases to be added
• Communicates with the OR scheduling team to ensure appropriate block utilization
• Direct communication with multiple physicians
• Works with insurance companies to ensure all patients have coverage for the surgery
• Support multiple physicians with coordination of OR schedules
• Works in collaboration with Oncology and Urology departments to coordinate combined surgical cases
• Communicates and coordinates all appointments with patients providing all necessary information
• Detail-oriented individual with the ability to communicate with multiple people in all departments
